New functions are constantly being released, such as the new Copilot Tasks: Microsoft 365 Copilot can use this to independently operate a wide variety of programs on the PC to carry out certain tasks at set times. This is just one example of how AI is now acting more and more autonomously, and that is the big trend.  <\/p>\n\n<p class=\"wp-block-paragraph\">Companies and organizations are therefore required to systematically analyse their business functions and decide how AI can create new added value. They should specifically develop into an &#8220;AI-first frontier enterprise&#8221;. Those who plan their AI strategy now with foresight and implement it consistently will gain sustainable competitive advantages. Agents are a central component of this development, enabling AI to evolve into an autonomous partner. They are able to plan, coordinate and &#8211; within a defined framework &#8211; act independently.    <\/p>\n\n<p class=\"wp-block-paragraph\">This approach is particularly effective when AI is deeply integrated into the company&#8217;s own data. Microsoft 365 Copilot then has access to all information from the Microsoft Graph, for example from Outlook, Word, PowerPoint, Excel, SharePoint files or the CRM system. This enables it to recognize correlations more quickly, make suggestions for action or even carry out actions independently if required. The decisive factor here is that AI agents require clear rules and clearly defined governance. Monitoring, compliance and security must be an integral part of the design, development and deployment of AI agents from the outset. In short: security and compliance by design.     <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Top-use cases for comms:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>Which 3-5 agentic AI use cases do you see as the &#8220;highest impact&#8221; for corporate communications?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann<\/strong><strong>:<\/strong> First of all, we need to clearly define which tasks should <em>not<\/em> be delegated to AI: The development of the actual PR story &#8211; i.e. its core, perspective and narrative &#8211; should remain with us. Because only humans are really capable of recognizing and developing emotions and genuine interest in the content of a story. And only a human being can reliably judge whether a story is already effective or whether it needs to be sharpened and refined. Nevertheless, there are numerous &#8220;high impact&#8221; use cases where AI is particularly helpful. These include, for example, design creation, quality checks, context evaluation and monitoring. This can be used to develop many applications for your own day-to-day work:     <\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Research:<\/strong> AI agents can help us see important stories early, before they become a big trend &#8211; or a problem.<\/li>\n\n\n\n<li><strong>Sparring partner:<\/strong> When developing a story, AI can be a good sparring partner. You just have to tell it how it should appear: as a skeptic, as a specific target group, as a competitor or as a critical journalist. Then you can see very quickly where the context is missing, what you are not presenting accurately or whether you are getting lost in details.  <\/li>\n\n\n\n<li><strong>Quality control:<\/strong> Do all documents and statements say the same thing? Are there any contradictions? Are they even understood the way we meant them to be? AI can also help with this.   <\/li>\n\n\n\n<li><strong>Crisis communication:<\/strong> When crisis issues escalate, it is difficult to keep track of everything: Where is what being reported? On which channels, in which media and with which audience do you need to start first in order to counter false reports or clear up misunderstandings? AI analyses in real time can provide enormous support in such situations.  <\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">As PR professionals, we can then use Agentic AI to orchestrate multiple tools, data sources and even multiple agents. We realized very early on that AI can automate at least 16 of the 20 steps required for a successful earned media story. And we are now putting this into practice.  <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Setup:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>From your perspective, how must corporate communications position itself in the future in order to make the most of the advantages of Agentic AI?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> There are neither blueprints nor secret recipes. AI agents in particular are developing so quickly that any new findings are soon outdated. But there are some basic principles:  <\/p>\n\n<ul class=\"wp-block-list\">\n<li>Colleagues must not only be allowed to experiment, but also encouraged to do so. The teams should work together to find out what is possible, sensible and safe. <\/li>\n\n\n\n<li>We should take time to get to know the new possibilities and also inspire the use of AI agents. At Microsoft, for example, there are regular emails with prompt suggestions or ideas for new AI agents. And we also have a permanent chat in our comms team where we share our experiences of trying out new AI agents. For some time now, it has also been possible to add a co-pilot agent to every chat in Microsoft Teams who can answer questions. Steps like this quickly turn the use of AI agents into a habit.    <\/li>\n\n\n\n<li>However, it must always be clear that AI agents are not superheroes because they can make mistakes. They always need common sense and specialist knowledge to evaluate and correct their results. <\/li>\n<\/ul>\n\n<h3 class=\"wp-block-heading\"><strong>Trust between people and agents:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>Where are agents used and how does a communicator&#8217;s trust in an AI agent build up? At what point were you sure that an agent would provide you with reliable, useful results? <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> The old saying applies here: trust is good, control is better. And a co-pilot is not an autopilot. Trust comes from experience in writing better and better prompts, using AI agents optimally, selecting the best data sources and having AI agents check themselves. They should explain how they arrive at their statements so that their errors in reasoning can be recognized. This is the only way to ensure that the results obtained are reproducible and generally valid.    <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Value creation\/time shift:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>When AI agents take over routine tasks confidently and reliably, people have time for higher-value topics (strategy\/creativity).<\/p>\n\n<p class=\"wp-block-paragraph\">a) Can you confirm this well-known thesis and were there corresponding higher-value topics\/tasks that could be taken on?<\/p>\n\n<p class=\"wp-block-paragraph\">b) If yes, did all team members have the direct competence to take on higher value activities without a problem?<\/p>\n\n<p class=\"wp-block-paragraph\">c) Does each team member want to take on correspondingly higher-value activities with more responsibility?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> Our team now has significantly more time to focus on higher-value strategic and creative tasks. Instead of constantly carrying out routine tasks such as media monitoring or endlessly searching through the inbox, we use the time to improve storytelling, prepare more interesting events and take a more strategic approach to corporate communication, for example. <\/p>\n\n<p class=\"wp-block-paragraph\">The expertise is definitely there in the team. Where else, if not at Microsoft? And it is also supported by AI, for example when it helps with brainstorming, researching or testing ideas. Everyone in the team has given courses for other companies on the use of AI in public relations, and one colleague has even created a LinkedIn training course that is often used. We always enjoy testing new features and are often the first to get them. We use dozens of AI agents and are happy to have their support when they improve our texts, create social media posts with one click or do press evaluations automatically, for example.     <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Professional expertise:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>If team members control AI agents to a greater extent in future, will they also need greater specialist skills in order to be able to check the results of the AI agents from a technical perspective?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> AI agents support us, but they don&#8217;t replace us. It is our expertise in public relations and the respective specialist topics that enables us to work with them optimally. So when we use AI agents to create a LinkedIn post from a blog article, it takes a lot of expertise to check the results. For example, AI often exaggerates its statements or simply sounds too enthusiastic, which doesn&#8217;t go down so well in Germany. It takes a good instinct and specialist knowledge to recognize such exaggerations. Of course, it helps that Microsoft&#8217;s Agentic AI has very strong &#8220;guardrails&#8221; that improve its reliability.     <\/p>\n\n<p class=\"wp-block-paragraph\">At the same time, AI also helps you to understand new topics and find answers when you don&#8217;t know that much yet. It simply has the most information if it can read every shared SharePoint in the company and all my messages or files. And she is patient when explaining things. So you can quickly familiarize yourself with new specialist areas if necessary. So one of our favorite prompts is: &#8220;Explain it to a 12-year-old schoolchild.&#8221;    <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Human-in-the-loop in sensitive workflows:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>Which control points\/approval gates do you recommend for sensitive use cases (e.g. crisis, CEO communication, IR-related content) &#8211; and how can this be mapped in a technically clean way?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> Nothing should go out without being carefully checked by humans. There is the expression: garbage in, garbage out. When working with AI, this means that we must have full control and check all outputs. AI saves time because we no longer have to do everything ourselves, but quality control is all the more important. This can be solved in a technically clean way if you only allow AI agents to work with the best and most reliable data &#8211; from your own SharePoint or only from certain documents that must always be up-to-date.    <\/p>\n\n<p class=\"wp-block-paragraph\">For example, we have our <em>Digital Trust Agent<\/em>, which is trained to deal with complicated compliance issues that may also be legally relevant. For his statements, he only uses verified documents that are continuously updated and uploaded by a special team, as well as verified texts from Microsoft&#8217;s Service Trust Portal and our Compliance Portal at Microsoft Learn. All answers are derived only from these sources of information and are cited to ensure that they are traceable and up to date.  <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Governance &amp; Compliance:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>What are the best practices for audit trails, roles\/rights, policy management and the documentation of agent decisions?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> This has to be set up correctly from the outset, and the responsible IT department must not forget that AI agents inherit all of their users&#8217; access rights. That&#8217;s the big advantage of Microsoft 365 Copilot: the AI is &#8220;enterprise-ready&#8221; and directly integrated into the existing governance and compliance solutions. If Microsoft Purview automatically determines the confidentiality of each document correctly, then the AI agent must also comply with this. Here are a few basic rules from our experts:   <\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Define the scope and least privilege principle:<\/strong> Document the purpose of each AI agent and only give access that the system actually needs. No broad authorizations. <\/li>\n\n\n\n<li><strong>Expand data loss prevention and compliance:<\/strong> Apply data protection and security rules to AI channels. Maintain audit trails and label AI-generated content. <\/li>\n\n\n\n<li><strong>Provide shared AI platforms:<\/strong> Provide secure solutions to curb shadow AI. Block unauthorized apps. <\/li>\n\n\n\n<li><strong>Promote a culture of safe innovation:<\/strong> Train employees in the safe use of AI. Actively promote transparency and collaboration. <\/li>\n\n\n\n<li><strong>Plan for AI incidents:<\/strong> Add AI scenarios to business continuity playbooks. Conduct tabletop exercises and track observability metrics across identity, data and threat levels. <\/li>\n<\/ul>\n\n<h3 class=\"wp-block-heading\"><strong>RAG &amp; &#8220;Single Source of Truth&#8221;:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>How should a curated knowledge base be set up (versioning, source prioritization, topicality, citation logic) so that agents work consistently and reliably?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> When creating texts and the like, we first send our AI agents to internal sources such as SharePoint, Power BI dashboards, emails or Teams messages. The AI agents can also expand their results with internet searches, but this can also be switched off to increase trustworthiness. <\/p>\n\n<p class=\"wp-block-paragraph\">However, if there are different versions of the same document, there can theoretically be problems. But this is nothing new either, as we used to have to check which version was the most up-to-date. And then the AI does help: for example, you can tell the agent to only look at documents from a certain time period or instruct it to highlight any contradictions or data conflicts.  <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Risk Controls:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>What mechanisms do you use to minimize hallucinations, prompt injection, policy violations and data leakage in agent workflows?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> Microsoft is constantly putting its AI to the test. We have &#8220;RedTeams&#8221; that do nothing but test, find errors or security gaps and formulate better guardrails. AI agents also need to be fully integrated into the compliance and security architecture &#8211; and we can help with this because Microsoft offers end-to-end solutions for this and has a large team of cybersecurity experts worldwide. We also always have an AI before the AI: for every request, we first check whether it is even permitted within the framework of compliance and security.   <\/p>\n\n<h3 class=\"wp-block-heading\"><strong>Measurability &amp; adoption:<\/strong><\/h3>\n\n<p class=\"wp-block-paragraph\"><br\/><strong>AG CommTech: <\/strong>Which KPIs do you think are useful (quality, consistency, time-to-respond, risk signals, efficiency) &#8211; and which enablement\/training approaches work best in your view?<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Andr\u00e9 Pechmann:<\/strong> The KPIs seem to be developing just as quickly as the AI agents themselves. One thing is clear: Their use should not only be measured by time or cost savings. Relief from monotonous work, the assumption of responsibility and the avoidance of risks are also crucial. This is why multidimensional KPIs are needed, especially in public relations:   <\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Degree of consistency:<\/strong> Do core messages, figures and narratives match across channels?<\/li>\n\n\n\n<li><strong>Revision rate:<\/strong> How many human correction loops are necessary before something is released?<\/li>\n\n\n\n<li><strong>Reliable interpretation:<\/strong> Is a message understood in the way it was intended?<\/li>\n\n\n\n<li><strong>Tonality and RiskFlags:<\/strong> How often do AI agents identify potential reputational or compliance risks early on?<\/li>\n<\/ul>\n\n<p class=\"wp-block-paragraph\">As far as training approaches are concerned, the right practical and task-oriented AI training needs to be given, especially at the beginning, and users need to be inspired again and again. Experiments &#8211; within a safe environment &#8211; should also be allowed. We should also keep thinking outside the box: not just automate existing work processes, but reinvent the entire work process using AI and achieve amazing new results as a result.  <\/p>\n\n<p class=\"wp-block-paragraph\">That may sound pathetic, but we have only just experienced a similar development: who would have thought 20 years ago that social media would give rise to the billion-dollar creator economy and so many attractive job profiles? We will also experience this through AI. The new job profile is the &#8220;agent boss&#8221;, who works with many different AI agents and delegates tasks to them in order to achieve as much as an entire team.
